CHANGE ORDERS & ADDITIONAL WORK POLICY
FiberCloud LLC | Commercial & Industrial Technology and Security Services
1. GENERAL POLICY
At FiberCloud, we are committed to providing transparent pricing, professional project management, and high-quality installation services.
We understand that project requirements may change during planning or installation. To maintain clear communication and avoid misunderstandings, any modifications to the original approved project scope must be documented and authorized in writing.
Any additional or modified work requires a separate written quotation or change order and a signed agreement from an authorized customer representative before the new work begins.
This policy applies to commercial, industrial, and other projects unless a different process is expressly required by the governing agreement or applicable law.
2. WHAT CONSTITUTES A CHANGE ORDER?
A change order may be required for any request that modifies the original approved quotation, including:
-
Additional Equipment: New cameras, access control devices, intercoms, networking equipment, servers, computers, or other products.
-
Equipment Substitutions: Changes to approved brands, models, specifications, quantities, or equipment configurations.
-
Additional Cabling & Infrastructure: Extra Cat6 cabling, fiber optic installation, conduit, network drops, racks, or related materials.
-
Equipment Relocations: Moving cameras, access control devices, network equipment, or other installed systems to different locations.
-
Additional Services: Programming, configuration, integration, troubleshooting, or other services not included in the approved scope.
-
Last-Minute Requests: Changes requested during installation that affect materials, labor, scheduling, or project requirements.
-
Site Conditions: Previously undisclosed conditions requiring work outside the agreed scope, subject to the terms of the original agreement.
3. CHANGE ORDER APPROVAL PROCESS
To ensure accurate documentation and pricing, the following process applies:
Step 1 — Customer Request
The customer submits a request describing the proposed changes or additional work.
Step 2 — Project Evaluation
FiberCloud reviews the requested modifications, equipment availability, labor requirements, installation conditions, and potential scheduling impacts.
Step 3 — New Quotation
FiberCloud prepares a separate quotation or formal change order outlining the additional or revised scope, pricing, materials, labor, payment terms, and anticipated scheduling adjustments.
Step 4 — Written Approval
The customer must review and sign the quotation or change order before FiberCloud proceeds with the additional or modified installation.
Step 5 — Scheduling & Installation
Once written approval has been received and any required payment has been made, FiberCloud will coordinate the additional work.
Verbal requests or informal on-site instructions do not authorize additional billable work.
4. ADDITIONAL COSTS & PAYMENT REQUIREMENTS
Additional products, materials, equipment, and professional installation services will be quoted separately.
Depending on the scope of the change order, FiberCloud may require an additional deposit before ordering equipment or beginning the modified work.
The applicable deposit, payment schedule, and due dates will be identified in the approved change order.
Unless otherwise agreed in writing, the original project's payment obligations remain in effect.
5. LAST-MINUTE EQUIPMENT OR PRODUCT CHANGES
Customers requesting changes to equipment already approved, purchased, configured, or scheduled for installation may incur additional costs.
These may include:
-
Price differences between original and replacement products.
-
Additional shipping or expedited delivery charges.
-
Supplier restocking or cancellation fees.
-
Additional labor for equipment removal, replacement, configuration, or reinstallation.
-
Reasonable costs associated with previously completed authorized work.
Any applicable additional charges will be documented in the revised quotation or change order.
Products that have already been ordered may be subject to supplier return restrictions.
6. PROJECT SCHEDULING & COMPLETION DATES
Approved change orders may affect the original installation schedule or anticipated completion date.
Scheduling adjustments may be necessary due to:
-
Additional equipment procurement or delivery times.
-
Increased installation or configuration requirements.
-
Availability of technicians, subcontractors, or specialized equipment.
-
Required customer approvals or site access.
-
Coordination with other contractors or project phases.
FiberCloud will communicate material scheduling changes and identify revised milestones when appropriate.
7. ORIGINAL PROJECT SCOPE & CONTINUATION OF WORK
A pending change order does not automatically suspend the entire original project.
FiberCloud may continue performing previously approved work when reasonably practical and consistent with the governing agreement.
However, any additional or modified work requiring a change order will not proceed until the required written authorization and applicable payment have been received.
If a requested change affects the feasibility or safety of the original installation, FiberCloud will coordinate the necessary adjustments with the customer.
8. REMOVAL OR REDUCTION OF APPROVED WORK
Customer requests to remove products, reduce equipment quantities, or eliminate previously approved services must also be documented in writing.
Any resulting price adjustment will account for authorized work already completed, equipment already purchased, supplier restrictions, and other applicable contractual obligations.
Removing an item from the project does not automatically eliminate charges for work already performed or nonrecoverable project expenses.
Applicable cancellation provisions may also apply.
9. CUSTOMER AUTHORIZATION & RESPONSIBILITIES
Customers are responsible for designating representatives authorized to approve project modifications and additional charges.
Signed change orders become part of the project agreement and should reference the original quotation or project number.
Customers should review the proposed scope, specifications, pricing, and scheduling impacts before providing approval.
FiberCloud is not obligated to perform additional work based solely on verbal instructions, informal discussions, or unsigned requests.
10. EMERGENCY OR TIME-SENSITIVE REQUESTS
FiberCloud understands that urgent operational or security requirements may arise during a project.
When expedited changes are requested, FiberCloud will make reasonable efforts to evaluate and quote the work promptly.
Urgency does not eliminate the requirement for written authorization.
Electronic quotations and electronic signatures may be used when acceptable under the applicable agreement and law.
11. WARRANTY COVERAGE FOR ADDITIONAL WORK
Equipment and installation services provided under an approved change order will be subject to the warranty coverage expressly identified in that change order and FiberCloud's applicable Warranty Policy.
Warranty periods and coverage may differ depending on equipment, installation conditions, and whether products are supplied by FiberCloud or the customer.
12. RELATIONSHIP TO OTHER PROJECT TERMS
Unless expressly modified by an approved change order, the terms of the original signed quotation or project agreement remain in effect.
Change orders are also subject to applicable Payment Terms, Cancellation Policy, Warranty Policy, and Terms of Service.
If the original project agreement establishes a different change-order procedure, that agreement will control to the extent permitted by applicable law.
Nothing in this policy limits rights or protections that cannot legally be waived.
